THE GAP IN TELECOM

Where the money falls through the cracks....

Imagine your telecom department and your accounting department as two island tribes, separated by a small but stormy sea.  

 

The accounting tribe is highly skilled in the rules of accounting and possess all the software and tools required to pay bills and allocate costs to the ledger accounts.

The telecom tribe is highly skilled in the technology of telecom and network management and possess all the software and tools required to plan and order telecom services.

In the stormy sea that separates these two islands are millions of dollars and thousands of pages of telecom bills.  The churn of the sea that separates these two island tribes is the result of both tribes pushing the bills away from their island and towards the other's.

Accounting lacks the detailed telecom knowledge and time required to properly decipher and code each telecom bill with General Ledger and Cost Center information.  SO, they push the bills to the telecom tribe's island for coding.

Telecom lacks the accounting knowledge  required to properly code and allocate these costs and telecom is usually very busy maintaining service levels for the entire company, SO they may ignore the wave of bills or push them back to the accounting department, with minimal coding.

The larger and more detailed the bill the less likely that either group will actually audit the expenditures.

This same battle is being fought in companies all across North America.

One solution is to teach your accounting department to be telecom experts or teach your telecom department to be accounting experts, but this duplication of knowledge is neither time nor cost effective.

The stop-gap solution for many companies lies in a series of spreadsheets that can take days and even weeks to complete.  These spreadsheets contain some basic accounting structure rules and every month someone tries to wrestle the necessary information out of large bills to provide accounting with the allocation information they require.

But working with spreadsheets is cumbersome and the information is frequently out of date.  It is time-consuming and costly to have someone continually update information across multiple and often unlinked spreadsheets and this leads to chronic errors.  As these go unnoticed for months and even years, your company continues to pay for unnecessary services.  The spreadsheet system is an ineffective way to audit and track telecom expenses.

Unfortunately, ignoring the problem just makes things worse.  Your vendors are not perfect, but it is your responsibility to audit every bill item, before it is paid.  Payment denotes acceptance of the correctness of an bill.
